Program Coordinator

Description
Supports the Program Management team with the day-to-day administration of customer accounts. Maintains accurate order data, prepares open order and status reports, and serves as a responsive first point of contact for routine customer questions, escalating complex issues to the Program Manager. This role is an entry point into PPSI's program management career path: successful Program Coordinators develop the account knowledge and coordination skills to advance into a Program Manager role.

Responsibilities
- Order entry and data management: Enter and maintain customer orders, part numbers, pricing, and delivery dates in the ERP/MRP system with a high degree of accuracy. Keep account records current and complete.
- Open order reporting: Prepare, update, and distribute open order reports and order status summaries for customers and internal teams on a regular cadence and on request.
- Customer inquiries: Field general questions from customers regarding order status, delivery dates, documentation, and shipments. Respond promptly and professionally, and route technical, pricing, or contractual questions to the appropriate Program Manager.
- Order tracking and follow-up: Monitor open orders for upcoming and past-due deliveries, flag risks to the Program Manager, and follow up internally to keep orders on schedule.
- Documentation support: Assist with order acknowledgments, shipping documentation, certifications, and other paperwork required for customer orders, including requirements associated with AS9100 and ITAR compliance.
- Program Management support: Provide administrative and coordination support to Program Managers, including meeting notes, action item tracking, and preparation of customer-facing materials.
- Continuous improvement: Suggest improvements to reporting formats, data accuracy, and order administration processes.

Requirements
- Associate's or Bachelor's degree, or equivalent related work experience.
- 0 to 2 years of experience in customer service, sales support, data entry, or an administrative role. Recent graduates are encouraged to apply.
- Strong attention to detail and accuracy; comfortable working with order data, spreadsheets, and reports.
- Excellent verbal and written communication skills and a professional, service-oriented phone and email manner.
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Collaborative mindset with a willingness to learn PPSI's products, customers, and processes.
- Proficiency with Google Workspace or Microsoft Office, especially spreadsheets. Experience with ERP/MRP systems is a plus.

Preferred Qualifications
- Exposure to electronics manufacturing, aerospace/defense, or an ITAR-regulated environment.
